Key Points to Writing
  • While writing, remember the purpose of the letter.
  • Use the right words, utilize a resource like Merriam-Webster Online.
  • Use a spell checker (F7 Word) and avoid common misspellings
  • Watch Tense Shifts, going from "s" to "ed"
  • Keep the text simple
  • Avoid acronyms and jargon, the people reading the letter are not familiar with it.

     As the commander of the ###th Communication Flight, I would like to personally thank you for your efforts in support of the Air Force Reserve program. As you know, recently Reserve units have been activated several times, for war, peace-keeping, nation building, and state-side disaster relief operations. The Reserve forces account for about half of our total military forces.

     Today, our nation is at risk from new and elusive threats. The battlefield of the 21st century is changing rapidly. Terrorists wish to attack us and exploit our vulnerabilities because of the freedoms we hold dear. The Reservist has no greater mission than protecting the homeland from terrorist attacks.

     [Member’s name] participation in the Reserves is essential to maintaining operational readiness to defend the United States. Weekend drill and annual training are absolutely essential to maintain those military skills that Reservists need to be able to accomplish their assigned mission. I sincerely believe that this experience provides [him/her] with personal and professional growth of unequalled value and is beneficial to your organization.

    As a manager myself, I understand that Reserve military duty commitments may cause undue hardship for your business. Your continued support and cooperation are greatly appreciated, and are vital to the continued defense of this nation by our military forces. Without your dedication and participation none of this would be possible.
